Job Description

Office Care:

Oversee the maintenance and functionality of office facilities, including but not limited to:

  • Oversee daily office operations to ensure a well-maintained and efficient workplace.
  • Manage office space planning and utilization, optimizing layouts for efficiency and collaboration.
  • Manage pantry supplies, inventory, office cleanliness, and overall organization.
  • Liaise with building management and external vendors to ensure smooth office operations.

Event Planning:

  • Plan and execute internal events (team bonding, YEP, ...) to foster employee engagement.
  • Propose creative ideas for culture activities.
  • Participate in cross-team projects (office decoration contests, employee surveys, ...), and provide hands-on support when needed.

Newcomer Experience:

  • Welcome and Integration: Ensure a welcoming and efficient onboarding experience for new employees.
  • Prepare onboarding kits, parking cards, office access, and ensure new hires feel warmly welcomed.
  • Address employee inquiries and concerns related to workplace issues promptly and professionally.

Employee Gifting:

  • Manage employee gift programs (birthdays, work anniversaries, maternity gifts, special celebrations).
  • Work with vendors to source creative and meaningful gifts.

Business Travel:

  • Handle flight, accommodation, and transportation bookings for business trips, training, and conferences.

Vendor & Payment Handling:.

  • Manage budgets and control costs related to office operations.
  • Oversee contracts and agreements for vendors, and service providers,...  
  • Coordinate Legal, and Finance to process timely contracts, payments for office services, event expenses, and employee engagement initiatives,...

Ad-hoc Support:

  • Participate in cross-team projects (office decoration contests, employee surveys, ...), and provide hands-on support when needed.

Qualifications

  • Education: A college diploma in business administration, hospitality management, or a related field is preferred.
  • Experience:
    • Minimum of 1 years of experience in office management, event coordination, or a similar role.
    • Proven experience in managing vendor relationships.
    • Experience in coordinating logistics for events and managing office facilities.
  • Skills:
    • Excellent organizational and time-management skills.
    • Strong communication and interpersonal skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). 
    • Proficiency in basic design software such as Canva. 
    • Attention to detail and accuracy
