Procurement cum Office Admin

Procurement cum Office Admin supports office operations and actively contributes to procurement activities, including vendor sourcing, quotation comparison, and cost control, while ensuring compliance with internal processes and smooth day-to-day operations.

Key Responsibilities

1. Procurement & Supplier Management

● Execute end-to-end procurement support for office, operations, marketing, technical,...

● Negotiation of pricing and terms under guidance, escalating high-impact opportunities to Procurement Lead.

● Collect, consolidate, and compare quotations for goods and services; prepare recommendation summaries

● Maintain accurate vendor databases, quotations, contracts, and procurement records.

● Ensure procurement actions comply with internal approval policies, budget limits, and documentation standards.

● Coordinate closely with Finance and Legal teams to ensure timely contract processing and payments for office services, events, and employee engagement initiatives.

2. Office Operations & Workplace Management

● Oversee daily office operations to ensure a safe, well-maintained, and efficient workplace.

● Manage office facilities, space planning, layout optimization, pantry supplies, cleanliness, and overall organization.

● Act as the main point of contact with building management and external vendors to ensure smooth office operations.

● Proactively identify opportunities to improve workplace efficiency and employee experience.

3. Employee Engagement Support

● Support execution of internal events such as team bonding activities, Year End Party, and internal celebrations.

● Assist in implementing engagement initiatives and contribute ideas when required to support company culture activities.

● Provide hands-on operational support for cross-functional employee engagement projects as assigned.

4. Newcomer Experience:

● Welcome and Integration: Ensure a welcoming and efficient onboarding experience for new employees.

● Prepare onboarding kits, parking cards, office access, and ensure new hires feel warmly welcomed.

● Address employee inquiries and concerns related to workplace issues promptly and professionally.

5. Ad-hoc Support:

● Participate in cross-team projects (office decoration contests, employee surveys, ...), and provide hands-on support when needed.

Requirements:

● Education: Bachelor’s degree in Business Administration, Supply Chain, Logistics, or related.

● Experience:

○ 1–3 years of experience in office administration, procurement support, or related roles.

○ Exposure to vendor sourcing, quotation comparison, and PO tracking is a plus.

Skills:

● Excellent organizational and time-management skills.

● Strong communication and interpersonal skills.

● Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

● Good English communication skills
